These Terms of Use ("Terms") govern your access to and use of the Firm Books accounting and bookkeeping platform, including the website at firmbooks.us and any related mobile applications (the "Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, you may not use the Service.
You must be at least 18 years old and legally able to enter into a binding contract to use the Service. By using the Service, you represent and warrant that you meet these requirements.
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to notify us immediately of any unauthorized use. Firm owners are responsible for managing staff and client access within their portal and for the permissions they grant.
The Service is offered on a subscription basis. A free trial may be available for a limited period. After the trial, a paid subscription is required to continue using the Service. Subscription fees, billing cycles, and plan details are displayed on our pricing page. Fees are billed in advance and are non-refundable except as required by law. We may change our fees with reasonable notice; changes take effect at the start of your next billing cycle.
Some AI-powered features carry per-use costs and may be billed separately or require you to provide your own AI provider API key. You are responsible for any charges incurred through your own API keys.

We process your data as described in our Privacy Policy. You may export your data at any time using the tools provided within the Service.
AI-powered features (receipt scanning, document extraction, the ZOE assistant) are provided to assist you but may produce inaccurate results. You are responsible for reviewing all AI-generated output before relying on it for financial or tax decisions. We do not guarantee the accuracy, completeness, or reliability of AI-generated content.
The Service, including its software, design, text, graphics, and logos, is owned by Firm Books and protected by intellectual property laws. These Terms do not grant you any right to use our trademarks, branding, or content except as necessary to use the Service. Feedback or suggestions you provide may be used by us without obligation.
The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied. We do not warrant that the Service will be uninterrupted, error-free, secure, or that results will be accurate or reliable. Firm Books is not a certified public accounting firm and does not provide tax, legal, or accounting advice. You should consult a qualified professional for advice specific to your situation.
To the fullest extent permitted by law, Firm Books and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or business interruption, arising from your use of or inability to use the Service, even if we have been advised of the possibility of such damages. Our total liability for any claim shall not exceed the amount you paid us in the twelve months preceding the claim.
You agree to indemnify and hold Firm Books harmless from claims, damages, and expenses arising from your use of the Service, your violation of these Terms, or your infringement of any third-party rights.
You may cancel your subscription at any time from within the Service. Upon cancellation, your access continues until the end of your current billing period. After cancellation, your firm data may be permanently deleted. We recommend exporting your data before cancellation. We are not responsible for loss of data after account deletion.
These Terms are governed by the laws of the United States and the state in which Firm Books is established, without regard to conflict of law principles. Any disputes shall be resolved in the courts of that jurisdiction, and you consent to exclusive jurisdiction and venue therein.
We may modify these Terms from time to time. We will post the updated Terms on this page and update the "Last updated" date. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
